    Take Outlook for example. I think it is still the best mail organizer for the money out there, especially for Enterprise-size offices.

    For example, imagine you need to invite 10 people to a meeting and moreover, you need to have the appointment show up on their own calendars.

    You'd also like to automatically send them an acknowledgement e-mail announcing the appointment and reminder e-mails starting at a preset time before the meeting.

    Outlook does all that and more, easily.

    1. Click the Calendar tab of Outlook.

    2. Select New > Appointment form the Calendar tool bar on top to launch the Appointment dialog screen.

    3. Enter a Subject and the proposed Location in the Appointment sub-tab.

    4. If you need to send any attachments with your meeting invitation, click the Attachments button and follow through the prompts.

    5. Select the Start & End Day & Time from the drop down menus.

    6. Click the Invite Attendees buttons on the tool bar and select your Required and Optional attendees.

    7. If there is anyone to whom you would like to refer as a subject matter or managerial resource, click the Resources button and select it from the address book.

    8. Check the Request Responses check box to receive back a response.

    9. Click the Save button to save the appointment on your own calendar.
